5. Data Sharing
We do not sell, rent, or trade your personal data. We may share data with:

6. AI-Specific Data Handling
Given the nature of our services, we want to be transparent about AI-related data processing:
- During implementation sessions, your workflow descriptions and business processes may be used as context within AI tools to configure prompts, agents, and automations.
- We follow a principle of data minimisation — we only input the minimum data necessary to configure your AI systems effectively.
- We will advise you on what types of data should and should not be processed through AI tools as part of our governance recommendations.
- Once AI systems are deployed within your environment, you are the data controller for any personal data processed through those systems.
- We do not retain copies of your business data after engagement completion unless required for ongoing support under a retainer agreement.
7. Data Retention
We retain personal data only for as long as necessary:
- Enquiry data: 12 months from last contact if no engagement proceeds
- Client engagement data: Duration of the engagement plus 6 years (for legal and tax purposes)
- Invoicing and financial records: 6 years as required by HMRC
- Website analytics: 26 months (if analytics are enabled)
After the retention period, data is securely deleted or anonymised.
8. Data Security
We implement appropriate technical and organisational measures to protect your personal data, including:
- Encrypted storage and transmission of data
- Access controls limiting data access to authorised personnel only
- Regular review of security practices
- Secure deletion of data after retention periods
While we take all reasonable precautions, no method of transmission or storage is 100% secure. We cannot guarantee absolute security of your data.
9. International Transfers
Some third-party AI platforms and service providers may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs) or adequacy decisions, in accordance with UK GDPR requirements.
